Our Vendor Approval Process

To ensure that all our vendors meet our high standards and deliver exceptional service to the communities we serve, we follow a thorough but straightforward vendor approval process.

Step 1: Submit Your Application

Start by filling out our Vendor Application Form and uploading the following documents:

  • Valid Business License
  • Completed W-9 Form
  • Certificate of Insurance (COI)
  • Workers’ Compensation Certificate (if applicable)
  • Two professional references

Step 2: Compliance & Reputation Review

Our team reviews your submitted documents and verifies:

  • Business legitimacy through official databases
  • Proper liability coverage, with Level PMG listed as an additional insured
  • References and online reviews to ensure quality of past work
  • Alignment with our pricing standards and ethical business policies

Step 3: Contract & Final Approval

If your application is approved:

  • You'll receive a Vendor Agreement outlining expectations, payment terms, and compliance standards
  • Once signed and finalized, you’ll officially join our Approved Vendor List

Step 4: Onboarding

We’ll send a Welcome Packet with:

  • Invoicing instructions
  • Communication guidelines
  • Your dedicated point of contact

Vendors must update documents annually to stay approved.

Step 5: Ongoing Partnership

We regularly monitor vendor performance based on service quality, communication, and reliability. We value long-term partnerships—and we expect our vendors to uphold the same high standards we promise to our clients.

Our experience has been exceptional with Level Management. Everyone in their office and HOA management teams has been amazing! Serving on an HOA board can be an exhausting job, as many people may know. Managing all of the books, bill payment, dues collection, etc. Level Management has been able to seamlessly take this over and handle these operations. This makes our life so much better for the HOA.
